Introduction
- These Terms & Conditions (“Terms”) govern your use of The Companions CCM Limited’s websites and services, including:

- Booking site: https://booking.thecompanionsccm.com (the “Booking Site”)
- Any related mobile sites, online booking forms, blogs, telehealth services, and client portals (together, the “Services”).
- By accessing or using the Services, booking or receiving counselling or related services, making payments, or submitting personal data, you agree to these Terms. If you do not agree, do not use the Services.

Services and Professional Relationship
- We provide counselling, therapeutic and related services. Our Services are not a substitute for medical or psychiatric care. If you have a medical emergency or are at immediate risk, contact emergency services or your physician.
- No therapeutic relationship is established until you have completed any required intake/consent forms and an initial session has been agreed and paid (where applicable).
- We will provide Services in accordance with our professional standards and applicable laws and codes of ethics in Hong Kong.
Booking, Payments and Fees
- Booking: You can make bookings via the Booking Site or by contacting us directly. All bookings are subject to availability.
- Fees: Fees for sessions and other services are set out on the Booking Site or provided to you in writing. We may update fees from time to time; notice of fee changes will be provided on the Booking Site and/or via email.
- Payments: Payments for bookings may be taken online through third-party payment processors. We do not store full payment card details. By providing payment information you authorize us and our payment processors to charge your chosen method for fees and any applicable cancellation/no-show charges.
- Refunds: Refund policy for cancelled appointments is as follows (please adapt to your policy):
- Cancellation ≥ 48 hours before appointment: full refund (minus any non-refundable processing fee).
- Cancellation 24–48 hours before appointment: 50% refund.
- Cancellation < 24 hours / No-show: no refund.
- Exceptions may be made at our discretion for emergencies or special circumstances.
Rescheduling, Cancellations and No-shows
- To reschedule or cancel, notify us via the Booking Site, email or phone as soon as possible.
- Repeated missed appointments without reasonable notice may result in termination of services or requirement to prepay future sessions.
Client Responsibilities and Informed Consent
- You agree to provide accurate, complete information during intake and to update us if information changes.
- You are responsible for attending sessions on time; sessions will finish at the scheduled end time even if you arrive late.
- You must inform your counsellor about any important medical or medication conditions relevant to counselling.
Confidentiality and Limits
- Confidentiality: Your information, session content and records are kept confidential and will only be disclosed with your consent, except where disclosure is required or permitted by law or professional obligations.
- Limits to confidentiality include:
- Risk of harm to you or others (imminent risk of suicide, serious self-harm, or harm to identifiable third parties).
- Suspected child abuse or neglect or abuse of a vulnerable adult.
- Court order, subpoena, or other legal process requiring disclosure.
- Prevention or detection of a crime where disclosure is necessary.
- When using telehealth, confidentiality may be affected by technology limitations; refer to our Privacy Policy for details.
Minors
For clients under 18, parental/guardian consent is normally required. We will seek consent and explain limits of confidentiality to both the minor and the guardian as appropriate and consistent with professional guidelines and legal obligations.
Telehealth / Online Sessions
- Online sessions may use third-party platforms. We will take reasonable steps to secure communications but cannot guarantee absolute confidentiality due to internet risks.
- You must ensure a private, secure environment for sessions and notify us of interruptions or concerns.
Professional Records and Retention
- We maintain clinical and administrative records for the purpose of providing care and complying with professional or legal obligations. Records are retained for a period of [suggested default: 7 years] following the end of the client relationship unless otherwise required or agreed. (Adjust retention period to your practice standards or legal/regulatory requirements.)
- If you request deletion, we will retain only the minimum necessary records to comply with legal and professional obligations.
Intellectual Property
- All content on the Website and Booking Site (text, graphics, logos, images, blog posts) is owned or licensed by us. You may use content for personal, non-commercial use only. Unauthorized copying, redistribution, or commercial use is prohibited.
Links to Third‑Party Sites
Our sites may contain links to third-party websites (e.g., payment processors, resources). We are not responsible for the content or privacy practices of those sites.
Limitation of Liability
- To the maximum extent permitted by law, our liability for any claim arising from or in connection with the Services is limited to direct losses up to the amount paid by you for the relevant services in the 12 months preceding the claim.
- We are not liable for indirect, special, consequential or punitive damages.
- Nothing in these Terms excludes liability for fraud, death or personal injury caused by our negligence, or other liabilities that cannot be limited under applicable law.
Indemnity
You agree to indemnify and hold us harmless from any claims, liabilities, losses, damages, costs or expenses (including legal fees) arising from your breach of these Terms or your misuse of the Services.
Privacy and Personal Data

Changes to These Terms
We may update these Terms from time to time. We will post the updated Terms on the Website and Booking Site with the “Effective date”. Continued use after changes constitutes acceptance.
Termination
We may suspend or terminate your access to Services for breaches of these Terms or for professional/ethical reasons. You may terminate by notifying us and settling any outstanding fees.
Governing Law and Dispute Resolution
These Terms are governed by the laws of the Hong Kong Special Administrative Region. Disputes will be subject to the exclusive jurisdiction of the courts of Hong Kong, unless otherwise agreed in writing.
